Using Auto-Purge To Clean Out Old Faxes & Records

The auto-purge feature in FastFax makes a great tip! You’ll find this easy to do and very productive. FastFax automatically cleans up after itself by eliminating no-longer-wanted documents and records. It'll save disk space and optimize performance.

On the iSeries 400, you'll find this feature by going to a command line and typing FFXMAIN.

Select Option #5 (Configuration Menu), Option #1 (System/Environment Defaults), and then take Option #2 (Change on the General System Defaults). Now Page Down to the second screen:

You’ll notice that the top half of this screen handles outbound faxes and (if you have the eDocMail) e-mail jobs. The bottom half handles inbound faxes. When setting up your purge routine, keep in mind that the faxes are images of the transmitted document, while the details are the header records. You can purge the images and keep the header records, but not vice versa.

It’s also important that you understand what “eligible” means in these settings. Eligible means that the jobs have met two criteria. First, the job is completed, so for outbound jobs their status is sent (SNT) or deleted (DLT), while for inbound jobs their status is open (OPN) or deleted (DLT). Second, the jobs must have been saved in FastFax for the minimum number of indicated days from the date/time each job was completed. The number of days to save a job can come from a variety of places, including the type of automated job or the user’s FastFax profile.

For the outbound and inbound faxes it is recommended that you use the frequency *WEEKLY, or – if you have a heavy volume of jobs – set it to *DAILY. For the details you can use *WEEKLY or *MONTHLY. Depending on your choices, you would then indicate the time and day of the week/month for the purge to automatically run.

If you have FastFax/Enterprise and the FastFax PC client installed, you can set up the auto purge through the GUI interface. Just open the FaxBar and select the FastFax Administration icon. Choose the System Defaults icon and then the Purge tab. Here's what you'll see:

The same criteria (as setting up the auto purge via the iSeries 400 screen) apply when setting up your auto purge on the PC client.
