Bally Technologies Is Betting High on Quadrant Software for Paperless Processing Solution

Document Management is the key for the gaming technology company to reduce costs and streamline workflow
Bally Technologies, a leader in slots, video machines, casino management systems and networked solutions for the global gaming industry, has selected Quadrant Software to help streamline its business and transform the company’s Journal Entry, Accounts Receivable, and Purchase to Pay processes into paperless operations.

IntelliChief, Quadrant Software’s document management, imaging and workflow solution, is being implemented in conjunction with their FastFax and Formtastic solutions for enterprise faxing and electronic forms respectively. This Paperless Process Management solution suite will work in conjunction with Bally’s Infor XA System i business application.

Hitting the Jackpot with Paperless Processing
The total annual return on investment (ROI) from the Paperless Process Management project with Quadrant Software is expected to be around $780,000.

Bally Technologies also identified the following benefits of such a solution:

  1. Increased turnaround times on critical processes
  2. Improved response rates to customers and vendors
  3. Enhanced employee productivity
  4. Immediate savings related to reduction of paper and storage

Part of the expected savings of this project has to do with the elimination of pre-printed forms by using Formtastic to design professional looking forms that can be automatically merged with Infor XA’s spool file to create a document that can be emailed, faxed, printed and saved into IntelliChief’s archival database for later retrieval. Other savings will come from:

  1. Elimination of costs associated with off-site storage for paper files
  2. Reduction of costs associated with paper, photocopies and related supplies
  3. Elimination of costs associated with pre-printed forms and fax machines

High Stakes on IntelliChief
Bally’s goal is to reduce their reliance on paper and to gain better visibility into their processes and streamline operations. The whole solution will be focused on leveraging their Infor XA installation and providing them with electronic versions of transactional documents such as Purchase Orders, Invoices, Acknowledgements, Contracts, Journal Entry reports, among others. By having everything electronic, Bally will gain significant process improvements including:

  1. Quick retrieval of backup documents directly from Infor XA screens
  2. Easily provide documentation for audits in compliance with Sarbanes-Oxley (SOX) in the required timeframe
  3. Availability of order history online without having to manually research and spend time locating interrelated documents and notes
  4. Ability to follow up on resolution status for Journal Entries

To speed up critical tasks like invoice approvals and purchase requisitions, IntelliChief’s workflow engine will be used to keep the electronic document flow moving, escalating activities when needed, generating alerts and automatically forwarding pending documents to the appropriate person. This will lead to:

  1. Better visibility to approval routing and use of escalation procedures ensuring timely processing of critical information
  2. Elimination of the need for manual signatures on paper forms shortens the time for cutting P.O.s and paying invoices
  3. Leverage vendor early payment terms and avoid late fees on lagging invoice payments awaiting approval

A bonus for employees who routinely use spreadsheets, word processors and other PC-based documents is the ability to transform them into an imaged file with indexes that lets you attach them to a process or an existing document and make them available in the system in case they are needed at a later date. The process is made possible with IntelliChief’s Print Capture Driver and is as simple as a typical 'file-print' command.

All Bets Are On The Table
As the project begins, Quadrant Software is confident that its solution will satisfy Bally Technologies and uncover even more opportunities for cost savings and process improvements. The implementation is expected to be completed sometime in the Spring of 2008.
